Most common mistakes

The Application is not complete

  • No signature of the statutory representative is affixed
  • The Request for Financial Support is not completed
  • The budget is not completed
  • There is no description of activities

The Project starts sooner than specified in the invitation

For example, take the case of an autumn 2008 invitation – projects should optimally start in the period from 1 February 2009 (approximately 1 month after the anticipated decision of the Managing Board on the grant award), but the Applicant states 30 November 2008 as the project initiation date.

The implementation period is not specified

For example, the Applicant implements a continuous project and states the period of 1 January 2004 to 31 December 2013.
Solution – In the case of such projects, select key activities that you will implement in the period of 1 February 2009 to 31 January 2010, and for such activities, develop your project.

The Project Budget does not correspond to the activities

  • For example, the budget mentions that a final party should be held for the implementers and the relevant item is neither included in the left column of the budget, (i.e. where the implementer’s costs should be stated), nor in the requirements for the OKD Foundation grant.
  • The activities, mentioned in the project, are outside the budgeted items.
  • The Applicant states that the number of target group persons is 50, but the project is set up for CZK 1,000,000.

“Budget as a Separate Chapter”

  • Covering the operating costs:

If you apply for a grant to cover the operating costs of your organisation within the implementation of activities, it is not possible to cover 100% of such costs because the project is not implemented by all the workers and is not the only project in your organisation. It is necessary to specify a percentage share.

  • Covering the labour costs:

If you apply for a grant to cover your labour costs, it must be based on (i) real amounts faced by the organisation and (ii) a share of the implementation of the approved project.

  • Covering the material costs

If you apply for technical or material equipment, you must state amounts usual in your location, which means that you must make market analyses regarding the individual equipment providers.
For example, an anti-decubitus mattress – up to CZK 12,000.
A computer set – CZK 20,000.

 

Avoid any reduction of the budget

 

Do not write your project documents by hand

If you do not have a computer in your organisation, go to an Internet café, and write the project document there. Handwritten project documents WILL NOT BE ACCEPTED.
The reason? Handwritten documents are often illegible, and it is not possible to assess a project if you cannot read it.

Do not rely on the last day of the Application submission period

Projects submitted beyond the last day of the Application submission period (e.g. 31 October 2008) will not be accepted.

A timely submission of your project shows evidence of your professionalism. Be professional. Prove that you will not address your Project at the absolutely last moment.

It is not possible to transfer any funds granted by the OKD Foundation to any third party

The OKD Foundation appreciates project partnerships, but they must be so-called non-financial partnerships.

This means that only you are the main project submitter and that you are thus, also, the other party to the signed agreement. You may not transfer any grant funds to any third person. This information will also be mentioned in the agreement.
